This policy explains how Mina Care: AI Clinic Assistant handles information for patients, clinics and care teams.
Who operates Mina Care
LAAK RICHARD BRANDS LTD operates Mina Care. For privacy questions and access, correction or deletion requests, email hello@thediabetesvoice.com.
Adults-only release
This release of Mina Care is intended for adults aged 18 and over. Under-18 access is not offered in this release. Please do not create an account for a child. If you believe a child has provided personal information, contact hello@thediabetesvoice.com so we can review and address it.
Information we process
- Account details: name, email, phone number, country, account identifiers and password hash.
- Health details you provide: diabetes profile, glucose readings, meal context, medication reminders and information in care conversations.
- Appointments, messages with your clinic and care professionals, family WhatsApp alert and consent records, and family or emergency-contact details you enter. Historical clinic WhatsApp records may remain subject to the retention section below.
- Optional profile photographs, public clinic logos, clinic descriptions and team profiles. Clinic logos and descriptions are displayed in the patient clinic directory.
- Subscription and transaction records, and technical information used to operate and protect the service, such as request and security logs.
We use this information to operate accounts, display health history, provide reminders, arrange care, manage subscriptions, respond to support requests and prevent misuse. Family contacts are entered by you; Mina Care does not import your address book.
Optional AI: your choice before sharing
Mina AI uses Claude, supplied by Anthropic, PBC, a third-party AI provider. In the patient and clinic app assistants, we show a separate permission screen naming Anthropic and the data involved before an AI request can be sent. Selecting Allow sharing with Anthropic enables AI for that screen session. Selecting Not now leaves AI off and does not prevent other app features. You can stop sharing from the AI screen, or leave it to end permission. Stopping sharing prevents new requests; it does not recall data already processed.
Patient AI: when you send a question, our backend sends Anthropic your message and up to 20 recent AI messages, including any personal or health information you type. It also sends your diabetes type, glucose targets and latest glucose reading with meal context and time, when available, to personalize the reply. These details come from your messages, profile and readings you entered in Mina Care. We do not automatically attach your name, email or phone number to patient AI requests; information you include in your message is shared. Chat history is also saved on your device.
Clinic AI: authorized clinic users can choose to send their question and up to 20 recent AI messages. Relevant clinic records retrieved to answer may include patient names and phone numbers, appointment dates and status, doctor names, visit reasons and intake details. These records originate from patients, bookings and authorized clinic staff. Clinic users must have authority to share these records with Anthropic. The assistant answers clinic operations questions; it does not itself change appointments or send messages to patients.
WhatsApp booking and diabetes conversations: where you use these separate AI messaging services, message text and relevant conversation context are processed by Anthropic to answer questions and gather booking details, such as name, visit reason, urgency, preferred doctor and time. WhatsApp transmission is also processed by Meta and the applicable messaging provider. Ordinary in-app doctor-to-patient chats are not sent to Anthropic by the AI assistants.
AI replies can be inaccurate and are not medical diagnosis, treatment or emergency care. Avoid entering information that is not needed for your question.
AI provider protection and retention
Anthropic processes API data under its Commercial Terms and Data Processing Addendum. These require limited-purpose processing, confidentiality, appropriate security, assistance with privacy requests and protective obligations for subprocessors. We require our processors to protect shared personal information to the same or an equivalent standard described in this policy; we do not authorize them to sell it or use it for unrelated advertising.
Anthropic does not train its models on commercial API data by default. Its standard API input/output retention is up to 30 days, subject to its stated safety, legal and agreed retention exceptions. See Anthropic’s retention explanation. We do not promise zero retention. Contact hello@thediabetesvoice.com for questions or requests about information already shared.
Clinic bookings and conversations
You book with a clinic. After confirming the appointment, authorized staff, the clinic account owner or clinic administrators may start a conversation with you. The clinic can assign or transfer that conversation to a doctor in the same clinic. Transfers keep the existing message history so the receiving doctor can continue the conversation. Authorized clinic coordinators can access their clinic’s conversations; doctors without clinic-administration access can access conversations assigned to them. Other clinics cannot access these conversations through their accounts. Staff replies record the sender’s name, and conversation starts and transfers are logged for accountability.
Clinic WhatsApp booking and chat automation has been removed from the active Mina Care product. Clinics manage their own WhatsApp business messaging separately. Mina Care does not connect to or automate their WhatsApp inboxes for this clinic-booking flow. Human clinic conversations in Mina Care are separate from the optional AI assistant.
Family WhatsApp alerts remain available. With the family contact’s agreement, Mina Care can send alerts about readings that meet the configured alert criteria. These alerts can include your name, reading, unit and whether the reading is low or high. Contacts can reply STOP to stop alerts. This family-alert service is separate from clinic messaging.
Who receives information
Participating clinics and authorized care teams receive information needed for appointments and care. Our service providers include Render for hosting, Cloudflare for network delivery and protection, Google Cloud for private backups, Resend for email, Meta for WhatsApp messaging, Twilio for the family WhatsApp channel when enabled, and Anthropic for AI replies. Google Play processes Android subscription purchases and Apple processes iOS subscription purchases. Our backend uses purchase tokens or transaction identifiers, subscription status and an account-linked identifier to verify membership access. Apple purchase records are associated with your Mina Care account. Paystack supports the separate web payment route, which remains in test mode during the current testing phase. Mina Care does not receive your full payment-card details from these payment providers.
When you export or share a report, you choose the receiving app and recipient. Their privacy terms also apply. We do not sell your personal information.
Photos, reminders and audio
Photos are uploaded when you choose to save a profile image. Device reminders are scheduled locally with your permission. We use Expo Push Service with Apple Push Notification service on iOS and Firebase Cloud Messaging on Android to deliver remote notifications. With notification permission, we store your device push token linked to your Mina Care account and sign-in session. Remote notification messages are generic and do not include health readings, care-message text or names. You can turn notifications off in your device settings; signing out removes the session’s push registration when the device can reach our server. When you report a conversation or a received message, we store the report reason, your account contact information and conversation reference, plus the selected message if you chose one, for support review. The confirmation screen explains what will be shared with our monitored support inbox. Blocking prevents further messages without deleting appointment or conversation history. In clinic-managed conversations, the block applies to the clinic conversation relationship and remains in place when the conversation is transferred to another doctor in that clinic. The voice-note preview does not record audio. Music and interface sounds are playback features.
Storage and protection
Account and care information is stored in our hosted database and private backups. We use HTTPS and account access controls. Providers may process information outside your country. No system can guarantee absolute security.
Retention and deletion
Account information is retained while your account remains active. Patient account deletion removes the app account and linked account records, including glucose readings, reminders and family contacts. Separate clinic patient, appointment and WhatsApp records are not automatically erased by deleting the app account. Their retention depends on the clinic’s care and recordkeeping responsibilities; there is currently no automatic expiry for these separate records. Contact us and your clinic to request their review and deletion where applicable.
Database backups are scheduled for deletion at 30 days old, followed by seven days of recoverable soft-delete protection. Processing is asynchronous, so permanent removal does not occur at an exact 37-day deadline. Deleted information can remain in these protected backups until they expire.
Transaction or security records may need to be retained to address payment issues, fraud or legal obligations. If a deletion request involves retained records, we will explain the applicable reason and scope when handling the request.
Manage or delete your information
Use the profile controls to edit your information. Patients can select Profile → Delete Account in the app. You can also request deletion without installing or signing into the app.
